Selectmen’s Meeting Minutes
Thursday – August 25, 2010 – 6:30 pm
Present: Chairman, Jarvis Adams, IV; Selectwoman, Karen Day; Selectman, Aaron Kullgren

Call to order: Adams called to order at 6:30
Chairman Adams opened the meeting stating the purpose of this meeting is to award the heating system conversion bids. Several bids were submitted. Prices ranged between $12,078 - $34,000.
The bids were submitted from the following Plumbing & Heating Companies:
Keating Plumbing & Heating - $12, 078
John Cilley Plumbing & Heating - $16,880
Wilder Plumbing & Heating - $16,880
Pinney Plumbing & Heating - $18,550
Milford Plumbing & Heating - $20,183
Mechanical Concepts, Inc. - $19,890
The Syversten Corporation - $26,600
CAC Mechanical Services - $34,950
All the bids were reviewed and discussed. Each bid submitted followed the RFP. Discussion followed.
Motion: Motion by Chairman Adams to accept the proposal as submitted by Keating Plumbing & Heating. The proposal requests ½ of payment up front, final payment upon completion after an approved inspection by the Selectboard. The Trustees will be requested to provide the initial payment out of the previously established Capital Reserve Fund. Seconded by Kullgren & Day. Discussion as to when to hold the informational meeting as requested, but not required, by voters. The meeting will be held at 6:00 on Wed., September 1st. The check for $6,050.00 from the capital reserve fund should be available on September 2nd. Voted 3-0 in the affirmative.

Miscellaneous mail was reviewed
MS-1 – Davidson stated the MS-1 will be ready on Friday. Davidson asked the Board to please come in over the weekend and review it and sign it. This is in an effort to have it mailed to the DRA in a timely fashion.
Oak Park – Selectmen discussed Ted Jarest recently called Adams regarding the sign and two pvc pipes to be placed level to ground. This will be a temporary structure. DPW Supervisor, Kevin McDonald discussed with Adams that he thinks a small oak tree would be lost if the sign is placed where it is intended to be placed. Adams will talk to Ted Jarest about moving the pole location to alleviate losing the oak tree. Selectmen support this.
Tax Rate – Kullgren commented he would like Davidson to prepare a preliminary tax rate for the board. She will have this prepared for Selectmen to review prior to the DRA setting the actual tax rate. Day asked if Davidson could explain to her how the tax rate setting process works. Day would like to learn this procedure.
Adjournment: With no further business the Selectmen adjourned the meeting at 7:30 pm. The next meeting will be on Wednesday, September 1, 2010 at 6:00 pm to discuss utilizing the capital reserve funds for the payment of the heating system conversion.
